Payment Policy
A non-refundable deposit equal to 10% of the total trip cost is required to reserve your space on an Eagle Cap Mountain Guides (ECMG) trip.
The remaining balance is due 90 days before the trip begins. For reservations made within 90 days of the trip departure date, full payment is required at the time of booking.
Failure to submit payment in full by the required deadline may result in the loss of your reserved space. ECMG reserves the right to offer unpaid spaces to other interested guests.
Cancellation and Refund Policy
We understand that plans can change. However, guided trips require ECMG to make significant financial and operational commitments well in advance, including scheduling professional guides, reserving accommodations, transportation, permits, and other trip-related services.
Cancellation requests must be made in writing and are effective on the date they are received by ECMG.
Refunds are based on the total trip cost and are subject to the following schedule:
- More than 90 days prior to the trip: Refund of all payments except the 10% deposit.
- 60–89 days prior to the trip: 50% refund of the total trip cost.
- 30–59 days prior to the trip: No refund. However, ECMG will make reasonable efforts to help fill the canceled space. If the space is successfully filled by another qualified guest, ECMG may, at its discretion, provide a refund or credit based on the amount recovered from the replacement booking.
- Less than 30 days prior to the trip: No refund will be issued.
Because ECMG must make significant financial and operational commitments well in advance of a trip, we generally cannot make exceptions to this cancellation policy.
We strongly recommend that all guests purchase appropriate travel insurance, including trip cancellation and trip interruption coverage, to protect their financial investment.
Private Yurt Camp
Our overnight yurt trips are designed as a private camp experience for your group of up to 8 guests. When you book the yurt, ECMG reserves the camp, guides, and associated services specifically for your group for the duration of the trip.
The cost for a 4-day private yurt trip is $12,000 for the group. This is the cost of the camp and guiding program and is based on a group of 8 guests. With 8 guests, the cost works out to $1,500 per person.
Cancellation by ECMG
ECMG reserves the right to cancel a trip due to insufficient enrollment, safety concerns, or other operational reasons.
If ECMG cancels a trip, guests will receive a full refund of all payments made directly to ECMG.
ECMG is not responsible for additional expenses incurred by participants, including but not limited to airline tickets, lodging, equipment purchases or rentals, transportation, or other travel-related expenses.
For this reason, we strongly recommend that guests purchase appropriate travel insurance that provides coverage for non-refundable travel expenses.
Trip Insurance
Protect your financial investment.
Trip insurance is designed to protect your financial investment and may provide travel and medical benefits, depending on the policy.
A comprehensive travel insurance policy may provide coverage for:
- Trip cancellation and interruption
- Emergency medical expenses
- Emergency medical evacuation
- Travel delays and missed connections
- Lost, damaged, or delayed baggage and equipment
- Other covered travel-related expenses
Coverage varies significantly between insurance companies and individual plans. Guests are responsible for reviewing the policy terms and confirming that their specific activities and itinerary are covered.
Adventure Sports Coverage
Guests participating in ECMG backcountry skiing, ski touring, ski mountaineering, mountaineering, or other adventure activities should pay particular attention to the policy’s activity exclusions.
Do not assume that a policy covering “skiing” automatically covers backcountry skiing or ski mountaineering.
Before purchasing a policy, we recommend confirming that it specifically covers the activities included in your ECMG trip, as well as any applicable altitude, terrain, geographic, or guided-activity restrictions.
Example: World Nomads
World Nomads is one travel insurance provider that guests may wish to consider. Its U.S. Explorer and Epic plans currently advertise benefits that may include trip cancellation, trip interruption, emergency medical coverage, emergency evacuation, baggage/equipment coverage, and 24-hour assistance.
World Nomads also specifically identifies backcountry/outside-resort-boundary and alpine ski touring among activities covered under certain plans.
Guests should review the current policy terms and confirm that their selected plan covers the specific ECMG trip and activities.
ECMG does not endorse or guarantee coverage from World Nomads or any other insurance provider.
Rescue Coverage
Protect yourself in remote terrain.
Rescue coverage is different from trip insurance.
Trip insurance primarily protects your financial investment and may provide medical and travel benefits.
Rescue coverage is designed to provide access to specialized search, rescue, and evacuation services in remote or challenging environments.
Some travel insurance policies include emergency medical evacuation, but this does not necessarily mean that they provide comprehensive backcountry search-and-rescue coverage.
For remote backcountry and international trips, guests may wish to consider both comprehensive travel insurance and a separate rescue membership or service.
Example: Global Rescue
Global Rescue is one example of a specialized rescue and evacuation service. Guests considering a rescue membership should review the current membership terms, geographic coverage, activity limitations, and evacuation provisions to determine whether it is appropriate for their trip.
Rescue coverage does not necessarily provide trip cancellation or reimbursement for the cost of a canceled trip.
Cancel For Any Reason (CFAR) Coverage
Some travel insurance policies offer Cancel For Any Reason (CFAR) coverage for an additional cost.
Standard trip cancellation insurance generally covers only the specific reasons listed in the policy. CFAR coverage may provide greater flexibility by allowing you to cancel for reasons that would not otherwise be covered.
CFAR coverage typically:
- Costs more than standard trip insurance
- Reimburses only a percentage of the insured trip cost
- Has specific eligibility requirements
- Must generally be purchased within a specified period after your initial trip payment, often 14–21 days, depending on the policy
If you are interested in CFAR coverage, we recommend reviewing the purchase deadline and eligibility requirements carefully before purchasing your policy.
When Should I Purchase Trip Insurance?
We recommend purchasing trip insurance soon after making your initial trip payment.
Some insurance benefits, including certain pre-existing medical condition waivers and CFAR coverage, may only be available if the policy is purchased within a specified period after your initial payment.
Waiting until shortly before your trip may mean that certain benefits are no longer available.
